Effective October 26, 2026
On the Boards (OtB), a nonprofit contemporary performance center in Seattle, runs On the Boards TV at ontheboards.tv. This policy explains what we collect when you use the site, why, who else handles it, and the choices you have.
The short version: we collect what we need to stream films, take payments, report usage to subscribing schools and understand how the site is used. We don't sell your information, and we don't use it for advertising.
What we collect
When you browse. Our web host keeps standard server logs: your IP address, the date and time, the pages you request, your browser, and any errors. We also use Google Analytics (see "Cookies") to see which pages are viewed, how visitors arrive (for example from a search, a link on another site, or one of our emails), what kind of device and browser they use, and their approximate location (city or country). With each page view we also note whether the visit came from a subscribing school's network, a subscriber, another signed-in visitor or the general public, and for school visits, the school's name.
When you create an account. Your email address and password (we store the password in a form no one can read back), and your name if you give it.
When you rent, buy or subscribe. What you bought, when, the price, any promotion code, and your name, country and postal code for billing. Card and bank details go straight to our payment processor, Stripe; we keep only the card type, last four digits and expiry date, so we can show you which card renews your subscription.
When you watch. Each time a film or trailer plays, our video provider, Mux, records the film, when it played, how long it was watched, the device, browser, network provider and approximate location, your account number if you are signed in, and your school if you are watching on a subscribing school's network. We use this for viewing statistics, the "Continue watching" row, and school usage reports.
When you watch through your school. If your school subscribes, we check your IP address against the network addresses your school gives us, so you can watch without signing in. For visits from a school network we keep a record of the film pages viewed, with the time and IP address, to report usage to the school. If your school uses single sign-on, we receive your name and email address from your school's sign-in service.
When you write to us. The messages you send, and the emails the site sends you (we keep a copy of every email the site sends).
How we use it
- To run the site: sign-in, access to films, payments, receipts and renewal notices.
- To answer your questions and fix problems.
- To understand how the site is used and make it better.
- To report usage to subscribing schools: the number of plays and film page views from their network, by film and month. School reports do not name individual viewers.
- To keep our financial records.
Who else handles it
We share information only with the services that run the site for us, and only for that purpose:
- Pantheon hosts the site.
- Mux delivers the video and records playback statistics.
- Stripe processes payments.
- Google provides Google Analytics and the email service that sends our messages.
- Your school, if you watch through a school subscription, receives the usage counts described above. People who manage your school's subscription can also see which accounts are linked to the school.
We may also disclose information if the law requires it, or to protect the rights and safety of OtB, our visitors or others. We never sell or rent personal information.
Cookies and similar storage
Cookies are small files a website stores in your browser. Ours:
- Session (name begins
SSESS), set by ontheboards.tv, keeps you signed in and holds your cart; kept until you sign out, or up to three weeks. _ga,_ga_…, set by Google Analytics, counts visits and recognizes a returning browser; kept 13 months.muxData, set by Mux's video player, groups plays from the same browser for viewing statistics; kept 1 year.__stripe_mid,__stripe_sid, set by Stripe on payment pages, helps prevent fraud; kept up to 1 year.
Your browser also keeps, outside cookies, your Google Analytics choice and whether you paused the home page video (until you close the tab).
Your choices. Visitors in the European Economic Area, the United Kingdom and Switzerland are asked before Google Analytics cookies are set. Anyone can turn them on or off with "Cookie settings" at the foot of every page; browsers that send a Global Privacy Control signal start with them off; and Google's opt-out add-on (tools.google.com/dlpage/gaoptout) works too. The sign-in, cart and payment cookies are needed for the site to work.
How long we keep it
- Account information, while your account is open.
- Order and payment records, for as long as we need them for accounting and taxes (generally seven years).
- Viewing and school usage records, so schools and OtB can see usage over time.
- Google Analytics data, 14 months.
Your choices and rights
You can update your account details and turn off subscription renewal from your account at any time. To get a copy of the personal information we hold about you, correct it, or close your account and delete it, email tv@ontheboards.org. We may need to keep some records, such as orders, for accounting.
If you are in the European Economic Area, the United Kingdom or Switzerland, you also have the right to object to or restrict how we use your information, and to complain to your data protection authority.
Children
The site is not directed at children under 13, and we do not knowingly collect their information. Visitors under 18 should have a parent's or guardian's permission before creating an account or making a purchase. If you believe a child has given us personal information, contact us and we will delete it.
Security
The site uses encrypted connections (HTTPS), passwords are stored in unreadable form, and card details are handled by Stripe, never by us. No system is perfectly secure, but we work to protect your information.
Where your information is processed
On the Boards and the services above operate in the United States. If you visit from another country, your information is transferred to and processed in the United States.
Changes
We will post any change to this policy on this page with a new effective date.
